Performance Tracker

Our system automatically fetches performance metrics and Key Result Areas (KRAs) through integrated APIs. Performance is monitored based on email response time and escalations.

Automatic Escalation: If an email remains un-responded for a specified time, it will be escalated to the next level.

Performance Tracking: Employee performance is monitored based on email response time and escalation instances, with KRA points calculated accordingly

Dynamic Workflows

Users can create custom workflows with individual approval options and SLAs. Key features include:

Custom Workflows: Users or departments can create workflows tailored to their processes.

SLA Management: Unique SLAs can be defined for each workflow, ensuring timely task completion.

To create a new workflow in STMS:

Click on the “New Workflow” button on the dashboard.

Save and activate the workflow to start using it.

Customize the form fields and data inputs.

Define the workflow steps, participants, approvals, and notifications.

Choose a template from the available options or create a custom workflow from scratch.

Project Management

Projects are managed seamlessly with clear responsibilities and timelines.

Roles:

Administrator: Has full access to all features and settings.

Manager: Can create and manage workflows, tasks, and projects within their department.

Employee: Can create and manage tasks assigned to them.

Project Head: Manages projects and assigns tasks to team members.

Project Assignment: Projects are assigned to project heads, who then identify key personnel and break down projects into multiple tasks based on SLAs.

 Task ETA: The person responsible for a task defines its Estimated Time of Arrival (ETA).

 Task Dependency: Tasks can be placed on hold if there are dependencies with other teams, pausing the associated SLA until the task resumes.

Click on the “New Project” button on the dashboard.

Give your project a name and description.

Choose the type of project (e.g., web design, mobile app development).

Set project permissions and invite team members if necessary.

Tasks Management

Managing tasks efficiently is crucial for productivity. Our system simplifies task management with the following features:

Task Assignment: Initiators assign tasks without specifying an ETA.

Acknowledgment: Initiators must acknowledge task completion to close tasks.

Notifications: Reporting managers are notified of incomplete tasks.

Task Details:

Each task includes assignee information, requirements, and deadlines.

Complete tasks and provide necessary approvals or feedback.

Communicate with team members regarding task status and updates.

Prioritize tasks based on deadlines and importance.

View your tasks on the dashboard or in the dedicated tasks section.

Ticketing System

Tickets are created and assigned based on their type and relevant department.

 For instance, infrastructure-related tickets are routed to the infrastructure team for resolution.

Ticket Status:

Open: Ticket is newly created and awaiting assignment or action.

Reopened: Task was previously closed but has been reopened due to further action or revision needed.

Cancelled: Task is no longer required or relevant and has been cancelled.

Closed: Task is completed, reviewed, and officially closed.

Resolved: Task is completed and closed successfully.

Pending Review: Task is completed and awaiting review by a supervisor or team lead.

On Hold: Task is temporarily paused due to dependencies or pending information.

In Progress: Assigned team member is actively working on the task.

Escalated: Task has been escalated to higher management or specialized team for resolution.
